Case Study for Facilities Management Companies
Vertas Group is one of the UK’s leading facilities management providers. Originally carved out of Suffolk County Council in 2011, the group has grown through various acquisitions and partnerships to bring together multiple brands across cleaning, catering, security and environmental services. The company now has a national workforce serving primarily public-sector clients.
While the Group’s rapid growth has been successful, this created a complicated IT environment, with a patchwork of systems and legacy priorities which were making it difficult to see how people and contracts were performing in real time, and where improvements could be made. In early 2024, new IT leadership set out to change that.
Up to that point, BCN had been acting as the Group’s IT support. With the new strategy, the relationship shifted to a more collaborative, outcomes-led partnership. The immediate aim was to stabilise day-to-day IT and improve visibility across functions. The broader goal was to build a single, trusted data foundation that would reduce manual effort, improve onboarding and give leaders the cross-organisational insight to make better, faster decisions.
As Vertas Group expanded through acquisitions and partnerships, its IT environment naturally became diverse, with a range of systems, spreadsheets, and reporting practices across different teams. This diversity presented an opportunity to bring together data from across the organisation, creating efficiencies and providing leaders with a clearer, more unified view of business performance.
Recognising that people are the organisation’s greatest asset, and largest investment, Vertas set out to enhance onboarding processes and empower teams with timely, accurate information. The goal was to foster a culture where technology acts as a strategic enabler, supporting confident decision-making and driving competitive advantage in the facilities management market.
Testimonial
BCN and Vertas began their IT journey by establishing a hybrid support model, with BCN acting as the first point of contact for IT queries and directly managing user support tickets. This ensured day-to-day issues were resolved quickly and consistently, freeing Vertas’ internal teams to focus on strategic improvements.
With operational stability in place, the transformation centred on three key technologies.
Vertas’ data was fragmented across spreadsheets and systems, making reporting slow and inconsistent. Microsoft Fabric provided a governed data platform that consolidated these sources into a single source of truth, enabling real-time reporting and building trust in the data. HR data is the organisation’s largest cost driver and was the first to be onboarded to Fabric, creating a foundation for accurate workforce insights and future expansion into finance and operations.
A unified data estate has enabled the business’ leaders to make faster, more accurate decisions, compare contract performance, and act before issues escalate.
As part of Vertas’ roadmap, D365 was introduced to streamline finance processes and integrate with existing tools. This ERP system supports accurate tracking, forecasting, and auditing, while reducing manual effort for HR and finance teams.
Automating these processes saves time, reduces errors, and improves cost control which is critical for a business managing multiple contracts and services.
To make insights actionable, BCN developed custom Power BI dashboards tailored to Vertas’ operational workflows. These dashboards deliver the right information to the right people across the entire organisation supporting confident, data-driven decisions.
This visual, intuitive reporting has driven adoption and empowered teams to use data effectively.
Microsoft 365 underpins collaboration and governance across the organisation. By centralising licensing and standardising tools, Vertas has improved compliance, reduced costs, and ensured teams have secure, consistent access to the resources they need.
Using the new data platform, BCN automated key HR workflows such as onboarding. Routine steps like scheduling introductions and granting access were standardised and automated, reducing lead times and improving the new starter experience. In parallel, BCN centralised Dynamics licensing and IT governance to optimise costs and ensure compliance.
By trusting BCN to manage support and licensing, Vertas can focus on strategic priorities while following best practice for scalability and security.
BCN’s work with Vertas has created a data platform that drives better conversations and faster decisions. With Microsoft Fabric, Power BI, and a hybrid support model in place, Vertas is seeing significant benefits across the organisation:
Empowered People
Managers and teams now have access to real-time insights through custom dashboards, enabling them to spot trends earlier, compare performance across contracts, and act before issues become costly. Onboarding has been streamlined, giving new starters a smoother experience and freeing HR teams from manual tasks.
Improved Efficiency
Manual processes have been reduced, and resource allocation is now guided by accurate, timely data. Operational workflows are supported by automation, improving speed and consistency across the business.
Data-Driven Decisions
With a single source of truth in Microsoft Fabric and integrated Power BI dashboards, leaders can make confident decisions based on reliable data. Contract profitability and workforce optimisation are now visible at a glance.
Cultural Shift
IT has become a strategic enabler rather than just a support function. This shift is helping Vertas move with intention, confidence, and speed, embedding data-driven thinking into everyday operations.
Future-Ready
The foundations for AI, IoT, and automation are now in place. Vertas is positioned to leverage advanced technologies to further differentiate in the facilities management market.
Investing in Microsoft Fabric and Power BI has marked a significant step forward for Vertas, shaping a culture that values data and technology as strategic assets. This transformation establishes a foundation for smarter, faster decisions across every level of the business.
Together, Vertas and BCN are now exploring the next phase of innovation. Plans include expanding the Fabric platform to integrate finance and operational datasets, introducing AI-driven forecasting for workforce planning, and connecting IoT and robotics data to monitor service quality in real time.
BCN’s partnership with Vertas continues to focus on insight through innovation, building strategies that will shape long-term productivity and efficiency. Our ongoing relationship ensures that as technology evolves, Vertas will stay ahead, ready to turn possibilities into performance.
